Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to
promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

Organizational Context and Scope:

Under the overall supervision of the Chief of Mission and direct supervision of Human Resources Officer, the incumbent shall be responsible to perform the following responsibilities.

FUNCTIONS/RESPONSIBILITIES:
1. Responsible for creating and updating the PRISM HR master data covering the following:
a. Hiring
b. Rehiring
c. Extension of appointment
d. Transfer
e. Annual Advancement within Grade (AWG)
f. Promotion / Reclassification of position
g. Entitlement / Benefit Availment (Medical Service Plan, UNJSPF, Family allowances)

  1. Prepare a monthly summary of Pas Contracts
    a. Generate contract extension /renewal / from PRISM, Monitor expiration of contracts, Advancement within Grade (AWGs)
    b. Send a reminder to the unit heads / immediate supervisors regarding expiration of contract and schedule of AWG
  2.  Prepare contracts of staff, consultants and interns
  3. Timekeeping
    a. Check computation of overtime, night shift differential, transportation allowances
  4. Payroll processing
    a. Ensure accuracy of entries related to personnel actions, benefits, and      timekeeping
    b. Update WBS element of local staff if needed
  5. Employment requirements
    a. Coordinate submission of additional requirements (marriage contract,   birth certificate of dependents, certificate of employment and / or affidavit of non-employment of spouse, etc) with new employees
  6. Processes and track GoB visas, stay permit and diplomatic cards for international staff and their dependents, temporary visa for consultants and other IOM staff.
  7. Coordinate with embassies in Burundi for obtaining visas for both local and international staff for the official trip abroad.
  8. Facilitate with government to have the approval for purchasing vehicles for personal use and importation of personal effects.
  9. Perform such other duties as may be assigned.

Education and Experience:
• University degree or Higher in Human Resources, Business Administration or a related field from an
accredited academic institution with 2 years of relevant professional experience; or
• High School/Certificate in the above fields with 4 years of relevant professional experience
• Experience in a similar function, preferably with the UN or NGOs is desirable
• Knowledge of SAP

  • Solid computer skills, including proficiency in MS Office Packages (Office, excel, Power point, outlook) internet and E-mail.
    • Strong interpersonal and intercultural skills with proven ability to work effectively and harmoniously with a team of colleagues

Languages

Fluency in English and French is required ((oral and written).
